We are constantly looking  for enthusiastic people to join our management team.  The successful candidates will be supporting the Senior Animal Welfare Manager and Head of Animal Health & Welfare to ensure our shelters run effectively and that our customers receive a high standard of care.  You will be responsible for ensuring all administration is completed accurately and on time and that our Customer Service is of a high standard at both of our centres. 

This is a full time position working 37.5 hours per week 5 days out of 7 on a rota basis.  Salary is negotiable subject to experience.

JOB DESCRIPTION

ADMIN MANAGER


RESPONSIBLE FOR THE MANAGEMENT AND DEVELOPMENT OF BOTH SHELTERS

 TO ENSURE THE SHELTER IS OPERATED IN ACCORDANCE WITH RELEVANT LEGISLATION (HEALTH & SAFETY, EMPLOYMENT ETC) AND REPORTING MATTERS OF CONSEQUENCE TO SENIOR MANAGEMENT ON A DAILY BASIS.

WORK WITH THE SENIOR ANIMAL WELFARE MANAGER & HEAD OF ANIMAL HEALTH & WELFARE TO ENSURE POLICIES AND PROCEDURES ARE BEING ADHERED TO. CARRYING OUT RISK ASSESSMENTS, ACCIDENT INVESTIGATION AND REPORTS (INCLUDING NEAR MISSES).  CARRYING OUT & KEEPING ACCURATE RECORDS FOR TESTING OF FIRE ALARMS, FIRE DRILLS, EMERGENCY LIGHTS, SERVICING OF EQUIPMENT ETC.  REPORTING ANY CONCERNS TO SENIOR MANAGEMENT.

 DEVELOP, MOTIVATE AND LEAD SHELTER TEAM, INCLUDING TRAINING IN HEALTH & SAFETY AND CUSTOMER SERVICE.  IMPLEMENT DISCIPLINE AND GRIEVANCE PROCEDURES, MAINTAIN AND ENFORCE STANDARDS OF APPEARANCE AND MONITOR PERFORMANCE (INCLUDING IDENTIFYING TRAINING NEED AND SKILLS SHORTAGES), PROVIDING FEEDBACK AND TRAINING WHERE NECESSARY.

 PREPARATION OF PAPERWORK AND REPORTS TO INCLUDE STAFF TIME SHEETS, MONITORING & ORDERING OF UNIFORMS, ANIMAL RECEIVED FORMS. ANIMAL LEDGERS, MONTHLY COUNCIL INVOICES, ANIMAL ANALYSUS, STAFF ROTA’S AND ORGANISING HOLIDAY COVER TO ENSURE THE SHELTER IS ALWAYS FULLY MANNED. 

 CARRYING OUT DAILY SITE INSPECTIONS TO ENSURE THE SHELTER IS CLEAN, WELL MAINTAINED, FREE FROM HAZARDS AND ALL TASKS AND DUTIES ARE BEING CARRIED OUT TO A HIGH STANDARD AND WITHIN RELEVANT TIME FRAMES.  REPORTING CONCERNS TO SENIOR MANAGEMENT IMMEDIATELY.

 CHECKING ALL PAPERWORK COMPLETED BY CUSTOMER SERVICES BEFORE SENDING TO HEAD OFFICE.

 OVERSEE ALL WORKS CARRIED OUT ON SITE AND MONITOR CONTRACTORS, ENSURING THEY HAVE RECEIVED THE RELEVANT SAFETY INFORMATION AND HAVE SIGNED ASBESTOS REGISTER.

 DEAL WITH CUSTOMER COMPLAINTS AND REPORT ANY COMPLAINTS RECEIVED TO SENIOR MANAGERS AND IF NECESSARY, INVESTIGATE AND REPORT FINDINGS TO HEAD OFFICE TO ALLOW A PROMPT AND INFORMED RESPONSE.

 ENSURE HIGH STANDARDS OF CUSTOMER CARE ARE ADHERED TO BY ALL MEMBERS OF STAFF.

 ENSURE ALL FINANCIAL RECORDS ARE COMPLETED ACCURATELY, BALANCED DAILY AND ARE SENT TO RELEVANT DEPARTMENTS IN A TIMELY MANNER.

        RESPONSIBLE FOR PROVIDING EFFICIENT AND FRIENDLY CUSTOMER SERVICE AT THE SHELTER AND EVENTS.
              
·      TO ENSURE ALL CUSTOMERS ARE WELCOMED TO THE SHELTER, INFORMED OF PROCEDURES AND ARE HELPED AT ALL TIMES. ENSURE ALL CUSTOMERS RECEIVE HEALTH & SAFETY AND “ABOUT US” LEAFLETS ON ARRIVAL AND REHOMING PACKS, ADVICE LEAFLETS AND PET INSURANCE AT REHOMING STAGE.

·      ENSURE TELEPHONES ARE ANSWERED PROMPTLY AND POLITELY, TAKING DETAILS AND MESSAGES FROM INCOMING CALLS AND ENSURING CALLS AND MESSAGES ARE PASSED TO THE APPROPRIATE PEOPLE PROMPTLY.

·      REPORTING THE ARRIVAL OF ANY ORGANISATIONS/CONTRACTORS TO SENIOR MANAGEMENT AS SOON AS THEY ARRIVE ON SITE.

·      RESPONSIBLE FOR ENSURING INFORMATION GIVEN TO THE PUBLIC IS ACCURATE AND TIMELY.

·      FULLY EXPLAINING THE REHOMING PROCEDURE, GIVING ADVICE ON REHOMING AND CHECKING POTENTIAL REHOME FAMILIES BEFORE ALLOWING THEM TO MEET THE ANIMALS.

·      PREPARATION OF PAPERWORK AND REPORTS TO INCLUDE COUNCIL SHEETS, DOG LEDGER REPORT, MONTHLY ANALYSIS, REHOMING INFORMATION ETC.  THESE MUST BE COMPLETED IN A NEAT AND THOROUGH MANNER AND EASILY ACCESSIBLE BY RELEVANT SUPERIORS.
 
·      KEEP ACCURATE, COMPLETE AND LEGIBLE WRITTEN RECORDS OF ALL ANIMALS COMING INTO AND LEAVING THE SHELTER, ENSURE THEY ARE UPDATED WHERE NECESSARY AND BOOKING DOGS/CATS INTO THE LEDGER ON ARRIVAL FROM WARDENS, AND MEMBERS OF THE PUBLIC.
 
·      ENSURE THE TILL AND ANY OTHER MONIES ARE ACCURATELY BALANCED DAILY, PREPARED FOR BANKING AND DEPOSITED IN THE SAFE AT THE END OF THE NIGHT.  ENSURE DEPOSITS ARE COLLECTED AND BANKED EACH MORNING.
 
·      TO IMPLEMENT NEW PROCEDURES WHERE NECESSARY TO IMPROVE THE WELFARE OF OUR ANIMALS AND THE CARE OF OUR CUSTOMERS.
